The Office Assistant assists with the implementation of services, policies, and programs within the Corporate Services Group. This position performs a variety of duties relating to efficient operations of the office, remaining flexible as the needs of the business change.
 
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
  • Answer phones and transfer to the appropriate staff member; take and distribute accurate messages.
  • Greet public and clients and direct them to the correct staff member.
  • Coordinate messenger and courier service.
  • Receive, sort, and distribute incoming mail; prepare outgoing mail for distribution.
  • Fax, scan, and copy documents.
  • Maintain office filing and storage systems.
  • Update and maintain databases such as mailing lists, contact lists, and other information; retrieve information when requested.
  • Update and maintain internal staff contact lists; coordinate and maintain staff administrative records.
  • Organize travel arrangements for staff.
  • Coordinate and organize appointments and meetings.
  • Assist with event planning and implementation.
  • Monitor and maintain office supplies.
  • Ensure office equipment is properly maintained and serviced.
  • Perform work related errands as requested such as going to the post office and bank.
  • Keep office area clean and tidy.
  • Assist with new hire orientation and onboarding processes, as directed.
  • Model corporate values; comply with ethical code of conduct at all times.
  • Maintain strict confidentiality at all times.
Other Functions
  • Assist with researching best practices and drafting material to enhance company services, policies, and/or programs.
  • Type standard letters, reports, meeting minutes, or brief instructions following established formats which are frequently confidential.
  • Proofread and check documents for accuracy, completeness, and compliance; make corrections as needed.
  • Perform other duties as assigned. 
MINIMUM QUALIFICATIONS
  • High school diploma or equivalent.
  • Proficiency with Windows 8.1, Internet Explorer, Microsoft Outlook, Word, Excel, PowerPoint.
  • One year of office services experience.
Selected candidate must submit to Criminal Background Check post-offer.
